REQUEST FOR PROPOSAL (RFP)

RFP Visitor's Center & Fiske Free Library Winter Maintenance

GENERAL DESCRIPTION OF THE WORK REQUIRED

The City of Claremont is seeking the services of a qualified professional lawn care/ landscape business to provide the following winter maintenance at the Visitor’s Center and the Fiske Free Library.

 

Winter

  • Shoveling main walkways, sidewalks, and secondary egresses (side doors) to the Visitor Center and the Fiske Free Library during winter months during hours of operation
  • Salting or sanding as needed on the walkways and/or stairways
  • Shoveling and Salting of the two Stairways leading from the Visitor’s Center parking lot, one down to the lower lot, and the other down to the pedestrian bridge

Note:

  • Hourly rates shall include all material labor and equipment necessary to complete the work as described.
  • Rock Salt for winter maintenance activities shall be available free of charge.
  • Snow removal operations shall be completed prior to 7:00 A.M. when practical.
  • During normal business hours, snow removal should commence once an estimated 3 inches of snow has accumulated.

Insurance Coverage

Contractor shall maintain for the duration of the contract all required insurance coverages as set forth below.  Coverage, naming the Owner as an additional insured by endorsement on a primary and non-contributory basis for liability, auto and excess coverages, shall be written with an insurance carrier licensed to do business in the State of New Hampshire, rated no lower than "A" by A.M. Best.  Contractor shall provide to Owner Certificates of Coverage for all coverages no fewer than ten (10) days prior to commencement of the Work, which coverage shall include endorsements that coverage provided by the policies shall not be reduced or canceled without thirty (30) days advance written notice given to Owner, unless for cancellation for non-payment of premium or other event for which coverage may be terminated on 10 days notice to the policyholder, in which case no less than 10 days advance written notice shall be given to Owner.

Contractor agrees to maintain during the performance of the Work, at least the kinds and minimum amounts of insurance as follows:

  1. Comprehensive General Liability, including Completed Operations Coverage - $1,000,000 per occurrence/ $2,000,000 Aggregate – City of Claremont must be named as an additional insured.
  2. Motor Vehicle Liability - $1,000,000 combined single limit – City of Claremont must be named as an additional insured.  Coverage must include all owned, non-owned and hired vehicles.
  3. Worker’s Compensation on all workers providing services under this Agreement; Employer’s Liability with limits in an amount no less than $100,000/$500,000/$100,000.
  4. All Subcontractors, as agents of Contractor under this Agreement, are subject to the same insurance requirements as the Contractor.
  5. Excess Liability in the minimum amount of $3,000,000 each occurrence – City must be named as an additional insured.

Bids will be received no later than 10:00 A.M. on Friday, October 18, 2024, where they will be publically opened and read aloud.   Contract shall be valid for two years based on signed contract date. 

Bids must be mailed, or hand delivered to the City Manager’s Office, 58 Opera House Square, Claremont, NH 03743.  Bids must be clearly marked “Visitor Center Winter Maintenance Contract.”
